Frequently asked questions
The questions clubs actually ask before signing up.
What is ClubHQ?
ClubHQ is club-management software for pole vault clubs: registration, memberships, equipment rentals, and the billing and reporting that go with them, in one system instead of several spreadsheets and forms.
Do families need to create an account to register?
No. A club shares a registration link, and a parent or athlete fills out the form and pays without ever setting a password. See Registering an athlete for the full walkthrough.
How do families pay?
By card through a secure Stripe checkout, or by cash or check at the club if your club has pay-later turned on. Which options a family sees is entirely your club's setting — not every club offers both.
We don't run equipment rentals. Do we have to use that part?
No. ClubHQ is modular — Rentals, Programs & Memberships, and other areas can each be switched on or off per club, so a club that only runs programs never sees rentals in its navigation or its bill.
Can we export to our accounting software?
Yes. ClubHQ exports transactions to Wave, mapped to your own chart-of-accounts item names.
Is our club's data separated from other clubs on ClubHQ?
Yes. Every club's records — customers, registrations, payments, everything — are isolated to that club. Staff at one club cannot see another club's data.
How do we get started?
ClubHQ is in limited beta. Request access and we'll set up your club directly rather than pointing you at a self-serve signup.
